Build the acquisition and borrowing ledger

Use the actual written purchase proposal or owner-supplied price, taxes and non-optional fees. Add inspection, history, lien-search, registration and immediate transport costs once. Where no applicable NRCan row exists, use a documented route trial or owner log with distance, litres, load, season and operating conditions; otherwise leave fuel unresolved.

Transfer maintenance once

Bring the completed maintenance total from the cheapest-to-maintain worksheet: exact schedule, quantities and specifications, local parts and labour, taxes and supplies, travel, planned downtime, verified included coverage and inspection-supported catch-up work. Use the same kilometres, hours, duty cycle and holding period as this ownership model.

Do not also add those items as generic annual maintenance or repairs. Keep routine service, diagnosed repair and uncertainty in separate rows so every amount can be traced and no make-wide failure story becomes a scheduled expense.

Price current condition, not internet reputation

Use an independent pre-purchase inspection, diagnostic findings and service history to identify current work. Obtain written scopes for material items and distinguish safety, required near-term, monitor and optional work. Keep planned service downtime separate from uncertain breakdown scenarios. For a business, document how an unavailable truck affects the actual job; for personal use, use the buyer's chosen value or show the time separately. No national downtime rate or guaranteed service access is supported.

Net ownership cost subtracts the amount realized at exit after any selling, transport, loan-discharge and required preparation costs. Because future kilometres, condition, market demand and loan balance are unknown, use conservative low, base and high exit cases from a documented method and date, not a guaranteed resale percentage.

FCAC identifies depreciation and negative equity as material risks and explains that a vehicle can be worth less than the outstanding loan. Track projected loan balance separately from projected market value at each planned exit date. A strong resale assumption must never be used to manufacture a cheapest-to-own winner.

Use one transparent ownership equation

Net cost for the holding period equals acquisition and transaction costs, borrowing cost, fuel, maintenance, inspection-supported repairs, insurance, registration and other fixed costs, travel, downtime and disposal costs, minus supported exit proceeds. Count cash flows once. Principal repaid is not an extra expense when the purchase amount is already included; interest and borrowing fees are.
